Setting up MOT Style Servicing for your Organisation

Propeller allows administrators to setup MOT Style Servicing for all trade types, either Globally or by Landlord / Client.

Logged in as an Administrator with Company Configuration access privileges, navigate to:

Settings --> Company Settings --> Default Service Buffers

This loads the organisations service buffer rules allowing the modification of any present rules in addition to adding any new rules.

Adding a new rule

To add a new service buffer rule, click the "Add Default Service Buffer" button located in the top right of the page.

This loads the New Service Buffer options -

Service: Allows the user to set the service type for this rule - this can be Any, Gas, Oil, Electrical, Sweep, Trade and Commercial Gas

Property Type: Allows the user to define the properties that this rule with effect. This can be any, All Private, All Landlords or by a particular Client or Landlord

Default Service Interval (Months): The appliances service interval - e.g. 12 Months

Default Service Buffer (Months): The appliances service buffer - the time in months before the service deadline within which the appliance can be serviced without affecting the anniversary date of the appliance

Default Reminder Buffer (Months): The reminder buffer is used for Propeller's communication options - e.g. Bulk Service Reminders. This sets the time before the Buffer (or interval if no buffer is present) when you can send out service reminders using the bulk communication options.

For Service Buffers and Reminder Buffers the time in months can be set to "0" to disable these options.

Modifying or Deleting a rule

On the "Default Service Buffers" page, all the organisations current rules are displayed.

To edit or remove these rules - click the "Edit" or "Delete" options.

How a rule is applied

Rules are applied automatically to any new appliances created that fit the Service and Property Type.

However any appliances added prior to the rule having been created, will not automatically be updated to the new Service Buffer settings.

In an instance where a new rule is created and you wish to apply this to any appliances already present, please contact the Propeller Support Team - [email protected] or 0333 207 0037 - as this can be done on your behalf.
