Once a web portal user has been created, roles will need to be assigned to the user so they can access the system. They may already have set roles depending on what User Type was selected during their account creation.
Roles can give users specific permissions, meaning you can tailor accounts to specific needs (e.g. a finance team may only need access to the invoicing features and no access to other parts of the system like scheduling).
Please note: not all roles may be visible, this will depend on your account level.

Assigning User Roles
To manage your User Roles, go to Settings > User Manager > User Roles in the side menu.

Here you can select one or multiple users by clicking them in the Users column. If can deselect a user by re-clicking them.
The Available Role Groups display the roles the user can be assigned. The Assigned Role Groups show the roles the user already has assigned.
At the top of each column is a search bar where you can find the required roles.
To add a role drag and drop from the Available Role Groups column to the Assigned Role Groups column. Alternatively, remove a role drag and drop from the Assigned Role Groups column to Available Role Groups.
If you would like to select multiple roles at the same time you can hold down the control (CTRL) key or the shift key and click on the necessary roles.
If you are managing the roles for multiple users you can compare who has what permissions assigned by the colour of the role. The colours indicate the following:
Green - All users have the role.

Orange (Dashed) - At least one user has the role, but not every selected user does.

Blue - No users have the role.

Configuration Roles
- Client Access Configuration - Allows a user to assign access to clients.
- Company Configuration - Allows the user to edit the Propeller co-configuration of the company’s details and defaults.
Finance Roles
- Basic Finance - Enables basic finance functions, such as the ability to create invoices, quotes and purchase orders.
- Add Multiple Items - Allows the user to add multiple items to invoices, quotes and POs at one time.
- Download Invoices and Quotes - Allows a user to download quotes and invoices.
- View Purchase Orders - Allows a user to view purchase orders.
- Download Purchase Orders - Allows users to download purchase orders.
- Finance Management - Allows users to configure company finance settings, manage timesheets and payroll reports.
Communication Roles
- Bulk Communication - Enables the ability to use the system to send bulk email, letter and email communications to landlords, tenants and private owners.
- Modify Text Message Settings - Allow the user to modify the company text message settings.
- Internal Communication - Allow the user to send system messages to web and engineer users.
- Edit Auto On Way Template - Allow the user to edit the automatic on-way email/SMS templates.
Property Roles
- Add Edit Appliance - Allows the user to edit appliances.
- Download Properties - Allow the user to download properties from the system.
- Property Management - Allows the user to add and amend property details.
Job/Visit Roles
- Bulk Job Management - Allows users to bulk create and edit visits/jobs.
- Customise Visit Priorities - Allows the user to add or edit priorities for jobs/visits.
- View Job Names - Read-only access for the user to select from pre-set Job names when creating jobs.
- Priorities - Allows the user to view priorities for use with visits and jobs.
- Job Management - Allows users to manage and create jobs/visits as well as use the wall planner.
- Edit Job Names - Allow the user to edit/add pre-set job names.
Report Roles
- Basic Reporting - Enables basic reporting functions, such as the ability to run visit, servicing and missed visit reports.
- Download Jobs and Visits - Allow the user to download Job and Visit reports.
- Download Reports - Allows a user to download data from reports.
- Visit Cost Report - Allows a user to run cost reports.
- KPI Reporting - Allows a user to run KPI reports on problematic properties/appliances.
- Compliance - Allows users to access the compliance dashboards.
Other Roles
- Client Access - Gives access to clients to view their own data in a read-only format.
- Electrical Supervisor - Allows a user to edit and sign off electrical certification.
- Parts Management - Allows the user to add, edit and remove parts from the database.
- Task Management - Allows users to view and create tasks for themselves and colleagues.
